How To Write A Quotation or Estimate And What To Include On It
We can divide the quotation into 3 major parts like writing a standard letter, the Header, the Body and the Footer. The following are some basic details that you may include in your quotation request.
- Quotation Header

- Letterhead : Your business name, address, telephone & email and web address, if available. Or it's best if you include your Business Registration Number or Tax Registration Number.
- The title such as "Quote Request" or your preferred term clearly written towards the top of the page.
- Your Provider Name and Address.
- Quotation Body

- In the case of services, provide your scope of work. It is important to be as specific as possible to avoid confusion and misunderstandings between you and the Consumer. If it will help make things clearer, you may need to attach an image link of the specification.
- Quotation Footer

- Other commonly used closing: Sincerely, Sincerely Yours, Yours Truly, Respectfully Yours, and others
- Type or print your name

- Reply Header

- Your Payment Terms or how soon you expect to be paid. Full Payment, 50% To Start, balance on completion.

- Validity of the Quote. For example, This quote is valid for 60 days
- Other comments you may have, like refund policy, etc. If necessary, you can also seek legal advice when drafting the terms and conditions for your quotation.
